ChatGPT, Claude, Copilot, or Gemini: Choosing Your Company's First AI Assistant

For most businesses the four major assistants are 80% interchangeable. The decision hinges on the 20% — and on where your documents already live.

The most common tool question we hear isn't exotic. It's: "Which assistant should we standardize on?" Honest answer: for everyday business writing, summarization, and analysis, the four major options are closer in capability than their marketing suggests. The decision usually turns on practical fit, not model quality.

Start with where your work already lives

  • Deep in Microsoft 365 — files in SharePoint, mail in Outlook, meetings in Teams? Microsoft Copilot wins on integration even when raw output quality doesn't, because the assistant that sees your calendar and documents without copy-paste gets used daily.
  • On Google Workspace? The same logic points to Gemini, woven through Gmail and Docs.
  • Platform-neutral, or quality-sensitive work? ChatGPT (the broadest feature set and plugin ecosystem) and Claude (consistently strong on long documents, careful reasoning, and writing that doesn't sound machine-made) are the contenders. Many of our clients run a short paid pilot of both with five power users and let the results decide.

The questions that actually differentiate

  • Does the business tier exclude your data from model training by default? (All four now offer this — verify the tier you're buying, not the brand.)
  • Can you manage users centrally and revoke access when someone leaves?
  • Does it handle your language well? Test with real documents, not English marketing samples.
  • What's the realistic cost at full adoption, not pilot size?

Our standing advice

Pick one, roll it out properly — training, policy, champions — and resist tool-hopping for six months. A well-adopted "second-best" assistant beats a perfect one nobody opens. The gap between assistants is small; the gap between adopted and abandoned is enormous.
